Job Description

A leading global technology company is seeking a dynamic Lead Executive Assistant to join its executive team. This pivotal role will provide high-level administrative support to both the CEO and CFO, ensuring seamless operations and strategic coordination at the highest level of leadership.

In this individual contributor role, you will collaborate and provide guidance to the global executive support team to drive consistent and efficient processes. Leading through influence and actions to drive change is key. Being resourceful, proactive, strategic yet detail oriented, with a desire to improve organizational effectiveness are key attributes in this role. A positive, customer focused mindset, superior communication skills, mature emotional intelligence, with a “Can do” attitude is a must.

This role serves as the primary point of contact for internal and external matters pertaining to our executive team. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. This role will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Duties and Responsibilities include the following.

  • Provide administrative, travel, calendar, and team support to CEO and CFO.
  • Provide support of liaison, communication, and team meetings, to the CEO and CFO team members.
  • Liaison with Executive Assistants for event planning and scheduling.
  • Build and maintain the yearly executive calendar.
  • Plan and coordinate major offsite meetings, events and Executive travel.
  • Arrange domestic and international travel schedule and reservations
  • Prepare expense reports and ensure submission in a timely fashion
  • Review and answer email and inquiries and determine if executive action is required
  • Take a leadership role with staff meeting agendas and drive focus and action item follow up
  • Effective project management of assigned project work
  • Promote collaboration, and maintain a deep understanding of strategy and senior leadership team (SLT) objectives
  • Collaborate with global executive support team by encouraging information sharing, leading monthly best practices training, champion the learner mindset and foster culture of continuous improvement
  • Maintain governance and avenues for information sharing and process improvements across the global executive support team

  • Advanced skills with O365 collaborative tools (Outlook, Teams, OneNote, SharePoint, etc.)

Education and/or Experience

  • Bachelor's degree in business administration or similar field
  • 8+ years' experience supporting leadership or executive teams
  • 5+ years' experience supporting CEO and CFO required
  • Experience working across multiple time zones in a matrixed, global organization

Language Skills

  • Ability to effectively communicate in the English language, both verbally and in writing.
  • Expert level written and verbal communication skills
  • Ability to read and interpret technical journals, specifications, international technical standards, etc.

Computer Skills

  • Advanced skills with O365 collaborative tools (Outlook, Teams, SharePoint, etc.)
  • Familiar with operating systems, such as Windows, etc.
