Your Mission:

We are looking for a highly motivated Facilities & Maintenance Coordinator to join our team based in New York City!

Our Retail channel is dynamic, and we are planning for continued growth, with 17 direct retail US stores presently it's a fantastic opportunity for a talented individual who has a passion for service, enjoys working through solutions and a tenacious appetite for learning new skills. Reporting to the Retail Facilities Manager, you will support the maintenance and facilities work, both planned and reactive in our retail US stores.

Key Responsibilities:

· Check, challenge and approve quotations for service work, alongside managing the purchase orders through the ERP company system and payments process.

· Provide administration and support for all facility management related topics.

· Consolidate information and relevant reporting on the effectiveness of the suppliers, including validation of monthly expenditure relating to the department’s budget.

· Process and review service callout reports from the stores, follow the service tracking program used for maintenance requests ensuring work is assigned and performed in an effective and timely manner.

· Support emergency requests for interventions in the shops relating to critical equipment and building issues, given the shops opening hours this could be required out of hours of operations and during the weekends.

· Coordinate with vendors, consultants, and internal stakeholders or extraordinary maintenance works, preventing breakdowns of systems and/or inconveniences to sales activities.

· Support both in the field and remotely the replacement of specific equipment and spare parts.

· Schedule periodical stores inspections to determine the maintenance work needed.

· Activities of archiving documentation and data entry.

The Ideal Candidate

· Problem-solving, tenacious and decision-making mindset, combined with the ability to manage both independent work and teamwork, always demonstrates a can-do attitude, understands the role exists to serve the retail store teams.

· Proficiency in Microsoft Dynamics is a plus.

· Strong organizational and project management skills with consistent focus on quality of execution.

· Proactive and innovative approach, always solution oriented with the ability to effectively multitask in a rapid work environment, meeting all deadlines.

· Good knowledge of AutoCAD and Advanced Excel.

· Fluent in English, both oral and written. Spanish is a plus.

· Availability to travel as required across our retail network.
