THE GIST:

Our client, a Palo Alto investment management company, is seeking an Executive Assistant to support multiple members of their investment team. This role will provide high quality organizational & administrative support while working cohesively with their top-tier administrative team. The ideal candidate has excellent communication skills, sound judgment, and works with a strong sense of poise & polish.

THE NITTY GRITTY:

• Manage multiple calendars, schedule & confirm meetings, and send reminders
• Arrange international & domestic travel and prepare itineraries
• Track & process expenses
• Receive incoming calls, provide responses, and direct as appropriate
• Plan and coordinate department meetings, offsites, and other events
• Prepare presentations and meeting materials
• Manage multiple projects simultaneously
• Provide back up administrative support for other team members
• Assist with other administrative tasks and ad hoc projects, as needed

THE ESSENTIALS:

• 2+ years of experience in an administrative support role
• Must have experience coordinating domestic + international corporate travel
• Bachelor's degree required
• Ability to multi-task, adapt to changing priorities, and meet deadlines
• Excellent interpersonal skills & collaborative nature
• Attention to detail in written correspondence, including editing and proofreading
• Excellent planning and organizational skills
• Ability to take initiative and ownership of projects
• Demonstrated ability to handle sensitive issues and maintain confidentiality

LOCATION: Palo Alto, CA (Hybrid - 3 to 4 days onsite)

COMPENSATION: $85k -100k base salary + bonus + OT + benefits (exact compensation will vary based on skills, experience, and expertise)
