Position Summary:

ABCD & Company is seeking a highly organized, detail-oriented, and proactive Creative Services Coordinator to support the operations and strategic growth of our Creative Department. This pivotal role bridges creative execution with departmental oversight, ensuring seamless project coordination, accurate reporting, and improved organizational efficiency. The ideal candidate thrives in a dynamic environment, has a strong grasp of project management, and is eager to contribute to a creative team that supports client delivery, internal marketing, and business development.

Key Responsibilities:

Project Management & Workflow Coordination:

  • Coordinate and track creative project timelines, resource allocation, and team assignments using tools such as Asana, Trello, or Monday.com.
  • Facilitate clear communication between the Creative Department and cross-functional teams to maintain project momentum.
  • Act as a liaison between the Creative Department and other teams—particularly Marketing, Business Development, and Client Services—to ensure creative output is strategically aligned, brand-consistent, and timely.
  • Anticipate roadblocks, identify solutions, and escalate issues as needed to reduce bottlenecks and missed deadlines.

Administrative & Resource Management:

  • Collect and organize creative briefs and project inputs from internal and external stakeholders.
  • Ensure designers and the multimedia team receive accurate, timely information to initiate and complete creative work.
  • Maintain a structured archive of brand assets, templates, and final deliverables for easy access and future use.

Client & Business Development Support:

  • Assist in developing sales materials, pitch decks, and client-facing presentations.
  • Organize and archive creative case studies and assets for business development and marketing use.
  • Coordinate revisions, feedback loops, and delivery of creative assets with clients and internal stakeholders.

Creative Department Oversight & Strategic Support:

  • Oversee strategic initiatives, key performance objectives, and departmental activities, ensuring timely completion and alignment with agency goals.
  • Support the execution of key assignments related to strategic initiatives—including internal audits, system implementations, and process development—under the guidance of the Chief Creative Officer.
  • Collect and analyze departmental performance data and outcomes; prepare and present reports on successes, challenges, and areas for improvement.
  • Assist in preparing and managing the Creative Department’s annual budget, ensuring resources are allocated effectively.
  • Maintain accurate records of departmental activities, financial transactions, and travel-related receipts; organize data into relevant event and departmental budgets.
  • Support resource planning and allocation, identifying tools, talent, or partnerships needed to fulfill department objectives.
  • Monitor progress against department goals and recommend operational improvements to enhance effectiveness.

Cross-Departmental & Internal Planning:

  • Participate in internal planning meetings; distribute agendas, take detailed minutes, and share follow-up recaps.
  • Support coordination and logistics for Creative and iLab events and initiatives, ensuring alignment with broader agency strategies and priorities.

Required Qualifications:

  • 2-3 years of experience in project coordination, creative services, marketing or administrative support (agency or creative environment strongly preferred
  • Familiarity with creative workflows and tools (Adobe Creative Suite, Canva, Figma, or video production is a plus
  • Proficiency in project management tools such as Asana, , Trello, or Wrike
  • Strong ability to collect, analyze, and present data to inform decisions and track performance
  • Demonstrated ability to manage multiple tasks simultaneously and maintain strong attention to detail
  • Moderate skills in presentation design (PowerPoint, Google Slides, or Keynote) preferred

  • Excellent communicator, both written and verbal, with the ability to collaborate effectively across teams.

  • Flexibility to travel domestically and internationally, as needed.

  • File Organization: Google Drive, Dropbox, Adobe Bridge
  • Communication & Documentation: Slack, Notion, Zoom
  • Design & Presentation (a plus): Canva, Adobe Creative Suite, Figma, PowerPoint, Google Slides, Keynote . Work Location & Schedule
  • This role is in-person, with a typical schedule of Monday - Friday 9am - 5pm.
  • Travel requirements: 0 - 5%.


Compensation & Benefits:

  • Salary Range: $55,000 – $65,000 (commensurate with experience and location)
