First Care Medical Clinic provides primary care services to patients in North Carolina and South Carolina. Operating for over thirty years, we have a longstanding commitment to patient-centered care. We have seven clinics, welcome walk-in appointments, offer telehealth services, and are open Monday to Saturday to ensure accessibility and convenience for our patients. Our services range from internal medicine and pediatric care to psychiatric counseling and on-site diagnostic evaluations. Our goal is to close gaps in healthcare by providing comprehensive, coordinated care.

Position highlights

First Care Medical Clinic is seeking a proactive, energetic, and accountable Clinic Operations Manager to oversee the day-to-day operations of our seven medical offices. This full-time role, based in Charlotte, NC, is crucial for driving consistent, high-quality operations across all locations. You will spend time in each clinic weekly, initially shadowing to understand current processes, and then actively supervising, managing, and coaching our six clinic managers.

In this position, the Clinic Operations Manager will work 5 days per week. First Care Medical Clinic is open from Monday to Saturday.

At the start, the Clinic Operations Manager will work closely with and shadow the Medical Director for the first 2-3 months, who will provide guidance and detailed context on First Care Medical Clinic. The Clinic Operations Manager will report to the President of First Care Medical Clinic.

Responsibilities

The Clinic Operations Manager will be instrumental in addressing recurring operational challenges and implementing consistent protocols across all clinics. Key responsibilities will include:

  • Operational Excellence & Accountability: Drive efficient and consistent operations across all clinics to ensure top-quality patient care. This includes defining and implementing consistent operational protocols and holding clinic managers accountable for adherence.

  • Performance Management: Upskill and coach clinic managers on effective performance management techniques, ensuring they consistently manage the performance of their staff. You will also directly oversee that performance management protocols are followed for both managers and clinic staff.

  • Training & Development: Implement and oversee the training protocol for both clinic managers and staff, ensuring everyone is consistently trained and aware of their tasks and responsibilities. This includes developing and delivering training on key clinic processes such as triage, lab / clinical procedures, front desk operations, population health management ensuring consistency and best practices are followed.

  • Supply Chain & Equipment Management: Proactively prevent stockouts of supplies by ensuring managers place orders according to protocol. You will also be responsible for ensuring all equipment is consistently functioning across all clinics in partnership with Supply & Equipment Manager, understanding that working equipment is critical for delivering proper care.

  • Scheduling & Staffing: Oversee scheduling and staffing for all clinics, ensuring schedules are efficiently designed to manage patient flow and facilitate high-quality care. This includes overseeing recruiting for clinic staff.

  • Patient & Staff Experience: Champion efforts to enhance both patient and staff retention. You will coach managers and staff on delivering a high-quality patient experience through respect and care, and guide managers on how to effectively engage their staff.

  • Process Improvement & Adaptability: Continuously evaluate and refine clinic processes, including but not limited to patient flow, triage, lab operations, and front desk efficiency. This role requires flexibility, adaptability, and a willingness to learn new skills, including proficiency with our Electronic Medical Record (EMR) system, and the ability to learn and adapt to new protocols as they are developed and implemented.

  • Knowledge of Medical Billing: Become thoroughly familiar with medical billing processes and understand their direct connection to clinical activities and overall clinic revenue cycle management.

Qualifications

 

  • Education: Bachelor's degree required.

  • Experience: Proven operational experience overseeing multiple locations in a business setting is essential. While healthcare-specific experience is a plus, we are looking for someone with strong multi-site management experience from industries such as retail or urgent car. Ideally, candidates will have experience running multiple urgent care clinics.

  • Healthcare Process Acumen: Ability to quickly learn and train on various healthcare processes, including triage, lab procedures, and front desk operations.

  • Technical Aptitude: Willingness and ability to learn and effectively utilize the clinic's Electronic Medical Record (EMR) system.

  • Leadership & Management: Demonstrated ability to supervise, manage, and coach teams effectively, with a focus on accountability and performance improvement.

  • Problem-Solving: A proactive and energetic approach to identifying and resolving recurring operational issues.

  • Communication: Excellent communication and interpersonal skills to effectively train, coach, and collaborate with clinic managers and staff.

  • Adaptability: Highly flexible, adaptable, and willing to learn new skills and embrace evolving protocols in a dynamic healthcare environment.
