Job Description

This job requires 40 hours a week to assist with receptionist duties, internal events coordination, and accounts payable processing. The required work hours are 10:00am to 6:00pm and occasionally 8:00am to 6:00pm when covering vacation/sick days for the main receptionist.

Job Responsibilities:

•Answer and screen incoming calls

• Greet office visitors

• Manage conference room reservations and supplies

• Coordinate internal events/meetings and catering

• Assist in maintaining orderly and clean conference rooms and reception areas

• Assist in coordinating building services for repairs or maintenance

•Direct contact with legal assistants for invoice verification and processing

•Prepare Excel worksheets for specific matters on an as needed basis

• Enter and code firm invoices and research payments as requested

• Ensure payables are paid on a timely basis

• Other assistance as requested

Qualifications:

• Strong communication skills; verbal and written; Bilingual preferred, but not required

• Highly dependable and able to work well in a team environment

• Good typing skills with proficiency in Microsoft Office (Word, Outlook, Excel)

• Open to taking on new responsibilities and challenging tasks

• Must be well organized and a self-starter
