Job Description

The Administrative Assistant II reports to the Executive Assistant to the Co-CEO’s and works closely with other administrative staff to ensure the smooth operation of the Company. This role is responsible for supporting the efforts of the Business Development department leadership through heavy and frequent calendaring, complex travel coordination, timely expense reconciliation, and meeting support. It is also responsible for inbound phone calls, receiving office visitors, catering orders, requesting office maintenance, maintaining the cleanliness and preparation of common areas, assisting with company events, and other projects or tasks as assigned. This position provides leverage to the Executive Assistants and may provide backup support as needed during their absences.

  • Exercise a high level of professionalism, discretion and confidentiality when working with staff, projects, and proprietary information.
  • Coordinate both local and off-site Lunch & Learn events for Business Development team.
  • Create/modify security badges and maintain badge or mapping systems for West Sacramento office.
  • Order, set up, and take down of catering for meetings and events.
  • Answer and direct all calls made to Clark Pacific, greet and direct visitors and maintain the professional appearance of the front lobby.
  • As needed, submit work orders online with Property Management for building maintenance needs.
  • Maintain cleanliness and functionality of the kitchen/common area, including making coffee, cleaning the coffee pots, and stocking kitchen supplies.
  • Maintain orderliness of storage rooms, keeping an inventory of content.
  • Maintain coffee and beverage stock in executive workspaces.
  • Occasional expense reconciliation for various credit card holders.
  • Support department projects and initiatives which may include but is not limited to, data entry, tracking survey responses, placing orders, .
  • Flexibility in hours when schedule requires (early meetings, evening events, weekend company events).
  • Other duties as assigned.

Experience and Education:

  • 3 years of experience as an administrative assistant to mid-level leaders is required.
  • Familiarity with construction/manufacturing industries is preferred.
  • Valid CA Driver’s License is required.
